1. Program Objective

 

The CentrEau Highly Qualified Personnel (HQP) Mobility Program aims to enable the student community and technical and research staff members of CentrEau to advance their studies and careers. This program applies to travel for the purpose of:

  • Using a research infrastructure (e.g., tools, machinery, experimental equipment, office, database, etc.) located outside their faculty of studies, or

  • Visiting their co-supervisor (must be a CentrEau member) located at another institution, or

  • Participating in training to acquire new technical or research knowledge.

 

2. Funding

 

Mobility expenses will be reimbursed up to a maximum of $1,500.

 

Eligible expenses for the program include:

  • Accommodation and travel expenses according to the Common General Rules of the Fonds de recherche du Québec (FRQ, Chapter 8.5 - travel and accommodation expenses) and the rules of the member’s home institution.

  • Research infrastructure usage fees – CentrEau members are entitled to the internal usage rate.

  • Training registration fees.

  • Non-covered: meal expenses.

 

3. Eligibility and Selection Criteria

 

To be eligible for the CentrEau HQP Mobility Program, the individual must:

  • Be a student or employee member of CentrEau.

  • Not have already received a scholarship under this program during the current financial year (April 1 to March 31).

  • Have the agreement of their research supervisor or manager for the travel.

  • Need to travel outside their city of study or work.

  • For co-supervisor visits, the co-supervisor must be a researcher member of CentrEau with regular or collaborating status.

  • Be working on an interdisciplinary research project related to CentrEau’s scientific programming.

 

Priority will be given to travel applications that:

  • Are related to an inter-institutional project.

  • Are related to a project co-supervised by CentrEau researcher members.

  • Involve travel by student members.

 

Will be considered an asset:

  • The diversity of research axes and study cycles represented in the project.

 

4. Evaluation

 

To determine the HQP members who will benefit from the funding, the CentrEau Scientific Committee will evaluate the applications based on the eligibility and selection criteria described above, as well as on a complete application (i.e., all required elements in the application form have been provided). The Committee is committed to respecting the principles of equity, diversity, and inclusion in its evaluation. Once the evaluation is completed, the response will be sent by email to the member as soon as possible.

 

5. Submission of the Application

 

HQP members can submit their application at any time. Only one application per financial year (April 1 to March 31) per member is eligible. It is the responsibility of the member to submit their application as early as possible before the travel.

 

To submit an application, the member must complete the online application form at the top of this page, in which the proof of anticipated expenses (e.g., invoice, email copy, screenshot, etc.) must be uploaded (in PDF format). A motivation letter demonstrating the relevance of the activity to their research will be required.

 

6. Disbursement of the Funding

 

The member must provide a travel expense report accompanied by supporting documents (transportation and accommodation receipts, registration or usage fee receipt, proof of participation in training, etc.) to info@centreau.org no later than sixty (60) days after the travel.

 

All accountability conditions must be met for the expense reimbursement to occur.

 

7. Accountability

 

In exchange for the financial support, the member commits to:

  • Provide one or more photos of their activity, if relevant (by sending us this material, you authorize CentrEau to use it for documenting and promoting the Centre).

  • Make a social media post showcasing their activity, and tag CentrEau and the Fonds de recherche du Québec (FRQ), if possible.

  • Give an oral presentation or present a scientific poster at the CentrEau Annual Meeting, if schedules permit.

8. Modification or Cancellation of the Application

 

Anyone who has submitted an application must inform the Scientific Committee of the group in writing at info@centreau.org of the abandonment, cancellation, or modification of their original application as soon as possible.
