Student scientific outreach program

1. Program Objective

 

The CentrEau student scientific outreach scholarship program aims to encourage the presentation of oral communications by the student community during scientific activities held outside their city of study. This aims to give students experience in presenting research results and to promote the group during these activities.

 

2. Funding

 

Participation expenses for an activity will be reimbursed through a scholarship of up to $300 for activities held in Quebec or online, and up to $900 for those held outside Quebec. The scholarship will be adjusted based on the actual expenses incurred by the student.

 

Eligible expenses for the program include:

 

  • Registration fees for the scientific activity.

  • Accommodation and travel expenses according to the Common General Rules of the Fonds de recherche du Québec (FRQ, Chapter 8.5 - travel and accommodation expenses) and those specific to the host institution.

  • Non-covered: meal expenses.

 

3. Eligibility and Selection Criteria

 

To be eligible for a scholarship under the Student Scientific Outreach Program, the student must:

  • Be a student member of CentrEau.

  • Not have already received a scholarship under this program during the current financial year (April 1 to March 31).

  • Participate in an eligible activity, such as a conference, congress, symposium, seminar, training, workshop, or other type of activity deemed relevant by the CentrEau Scientific Committee. Poster sessions are only eligible in certain special cases – justification will be required from the member’s (co-)supervisor. Additionally, activities organized by CentrEau are not eligible. Activities held in the city where the student’s institution is located are not eligible.

  • Present an oral communication at the activity related to CentrEau’s scientific programming and concerning an interdisciplinary research project.

  • Submit their application before the start date of the activity.

  • Have the agreement of their research supervisor to participate in the activity.

  • Provide a short motivation letter demonstrating the relevance of the event for their research.

Priority will be given to applications related to a project that:

  • Is inter-institutional.

  • Involves co-supervision by CentrEau members.

 

Will be considered an asset:

  • The diversity of CentrEau research axes and study cycles represented in the project.

 

4. Evaluation

 

To determine the scholarship recipients, the CentrEau Scientific Committee will evaluate the applications based on the eligibility and selection criteria described above, as well as on a complete application (i.e., all required elements in the application form have been provided). The Committee is committed to respecting the principles of equity, diversity, and inclusion in its evaluation. Once the evaluation is completed, the response will be sent by email to the student as soon as possible.

 

5. Submission of the Application

 

There will be three calls for applications per year (fall, winter/spring, and summer). Only one application per financial year (April 1 to March 31) per member is eligible. It is the responsibility of the member to submit their application as early as possible before the start of the activity.

 

To submit an application, the student must complete the online application form found at the top of this page, in which the following documents must be uploaded (in PDF format):

  • The article or abstract presenting the proposed oral communication which was submitted to the organizing committee.

  • Proof that the oral communication at the activity is confirmed by the organizing committee of the activity. If the decision has not yet been made at the time of the scholarship application submission, acceptance into the program will be conditional to receiving this proof.

  • If the application concerns only the presentation of a scientific poster, special justification from the member’s (co-)supervisor.

  • Proof of anticipated expenses, in a single PDF file (e.g., invoice, email copy, screenshot, etc.).

  • Motivation letter in which the student demonstrates the relevance of the event for their research.

  • Academic transcripts (in a single file).

6. Disbursement of the Scholarship

 

The student must provide a travel expense report accompanied by supporting documents (registration fee receipts, transportation and accommodation receipts, speech/program proof of the activity, etc.) to info@centreau.org no later than sixty (60) days after the end of the activity.

 

All accountability conditions must be met for the scholarship to be disbursed.

 

7. Accountability

 

In exchange for the financial support provided by CentrEau, the student commits to:

  • Identify their affiliation to CentrEau – Quebec Water Management Research Center and provide proof of this when applying for funding.

  • Acknowledge CentrEau and use its logo during their presentation.

  • Acknowledge the Fonds de recherche du Québec and use its logo during their presentation.

  • Provide one or more photos of their participation in the event, if possible (by sending us this material, you authorize CentrEau to use it for documenting and promoting the Centre).

  • Make a social media post showcasing their presentation at the event and tag CentrEau and the Fonds de recherche du Québec (FRQ), if possible.

  • Commit to giving an oral presentation or presenting a scientific poster at the CentrEau Annual Meeting, if schedules permit.

 

8. Modification or Cancellation of the Application

 

Anyone who has submitted an application must inform the Scientific Committee of the group in writing at info@centreau.org of the abandonment, cancellation, or modification of their original application as soon as possible and reimburse any unused amounts, if applicable.
